Information we may collect
When you contact Kaya Collective by email, telephone, WhatsApp or LinkedIn, we may collect your name, contact details, job title, organisation, the content of your messages and any information you choose to share about your business. If you become a client, we may also hold information needed to deliver the engagement, such as details about your organisation, its people and invoicing information.
When you visit the website, our hosting provider may automatically process limited technical information, such as your IP address, browser and device information, and basic server or security logs, where necessary to operate and secure the website.
How we use information
We use enquiry information to respond to you, understand your situation and discuss whether there is a useful next step. Client information is used to plan and deliver agreed work, communicate with you, manage invoicing and keep appropriate business records.
Lawful bases
- Legitimate interests – responding to enquiries and running the consultancy.
- Pre-contractual steps – discussing and scoping potential work at your request.
- Contractual obligations – delivering services under an agreement.
- Legal obligations – meeting tax, accounting and other legal requirements.
Service providers
We use trusted providers to operate the business, including website hosting, Microsoft 365 for email, WhatsApp and LinkedIn for communication. These providers process information in line with their own privacy terms.
International transfers
Some providers may process information outside the UK. Where this happens, appropriate safeguards apply, such as adequacy regulations or standard contractual clauses.
How long we keep information
General enquiries are normally retained for no longer than 24 months after the last meaningful contact, unless a client relationship begins or a longer period is legally required. Client records are kept for as long as needed to deliver the work and meet legal and accounting obligations.
Cookies and tracking
This website does not use analytics, advertising pixels or non-essential tracking cookies.
Your rights
Under UK data-protection law you have the right to access your personal information, ask for it to be corrected or erased, restrict or object to its use, request data portability, and withdraw consent where consent is relied upon.
You also have the right to object to processing based on legitimate interests.
Complaints
If you are unhappy with how your information has been handled, you have the right to complain to the Information Commissioner’s Office (ICO) at ico.org.uk. We would appreciate the chance to address your concerns first.
